AI CRM Automation for the Leads You Already Paid For

AI CRM automation from Seqora works the leads and past clients already sitting in your CRM, for dental practices, med spas, law firms and other service businesses. We set up follow-up that reaches new inquiries within minutes, nurture sequences that stop the moment someone books, and reactivation campaigns that sort dormant leads and past clients by why they went quiet. Agents clean and enrich your records and draft personal outreach, and a person on your team approves every draft before it sends.

What is AI CRM automation?

AI CRM automation is a set of agents and rule-based workflows inside your CRM that follows up on new leads within minutes, nurtures and reactivates the ones that went quiet, and keeps your records clean. Rules handle timing, routing and opt-outs. AI handles the messy parts: reading old notes, sorting contacts by why they stalled, and drafting personal outreach for a person to approve.

  • Who it's for: practices and firms with leads, unscheduled treatment plans or past clients sitting untouched in a CRM
  • What you get: a cleaned CRM, instant follow-up, nurture and reactivation sequences, and an approval queue for AI-drafted outreach
  • How it's measured: time to first reply, replies, opt-outs, booked appointments and reactivated clients, pulled from your own CRM
  • Proof: nearly 1,400 archived deals turned into CRM-ready records with contacts for AST Defeasance, who came back for a second project
Why it matters

Why do good leads go cold in your CRM?

Your CRM is probably full of people who already raised their hand: web inquiries nobody answered that night, consults that never booked, treatment plans presented and never scheduled, clients who came once and drifted off.

Nobody ignores them on purpose. Follow-up falls to whoever has a free minute, and the records fill with duplicates, missing numbers and stages nobody updates, so even a good campaign goes out to the wrong list.

And the list keeps growing. Every month adds new inquiries that didn't book on top of the ones nobody called back last year. Our post on work still done by hand covers what that follow-up gap costs practices and firms.

You already paid for these leads. Reactivation works the list you have before you spend more to buy new traffic.

What's included

Everything that works the leads already in your CRM

Each piece runs on the CRM you already have. The audit decides what we build first.

CRM cleanup and enrichment

Duplicates merged, and missing phone numbers, emails and last-visit dates filled in from your practice or case-management system. Contacts get verified and pipeline stages mapped to how you actually work, so every campaign reaches the right people once.

Instant lead follow-up

Web forms, ad leads and missed calls get a first text or email within minutes from templates you approve, day or night, then route to the right person. If an AI receptionist already answers your forms and chat live, these sequences pick up where its conversation ends.

Nurture sequences

Email and text sequences timed by rules that stop the moment someone replies, books or opts out. Built so nobody gets a reminder for an appointment they already made.

Dormant lead and client reactivation

Agents read notes and history, tag each contact by why they stalled, such as cost, timing or fear, and draft outreach that answers that reason instead of a generic check-in.

AI-drafted outreach, human-approved

Personal first lines and replies drafted from each record wait in an approval queue. Someone on your team edits, approves or rejects every one before it sends.

Reply triage and pipeline reporting

Replies sorted into interested, not now and opt-out, with opt-outs suppressed right away, plus a live dashboard of reply time, bookings and reactivations by campaign.

How it works

What happens in the first six weeks?

Cleanup comes first, because messaging a messy list does more harm than good. Instant follow-up on new leads can go live before the old list is clean.

  1. 01

    Audit your CRM

We connect to your CRM and your practice or case-management system, count duplicates, gaps and stalled records, and size the dormant list by segment. You get a written plan with the first campaigns ranked by list size and how recently each group was in touch.

    Week 1
  2. 02

    Clean and segment

Records get merged, filled and verified. Agents read notes and history to tag why each dormant contact stalled, and you check a sample of those tags before any campaign uses them.

    Weeks 2–3
  3. 03

    Build the sequences

We set up instant follow-up, nurture and reactivation inside your CRM, write the message library with you, and wire the approval queue for AI drafts. Templates are approved once, before launch.

    Weeks 3–5
  4. 04

    Pilot on a small segment

The first reactivation campaign goes to a small slice of the list. We watch replies, opt-outs and bookings, fix what's off, then widen it.

    Weeks 5–6
  5. 05

    Run and report

New leads flow into follow-up automatically and campaigns keep running. Each month you see reply time, bookings and reactivations by campaign, and what we're changing next.

CRM work we've built

One is a client project. The other is our own outbound system, built so a person approves every message before it sends.

AST Defeasance

Our first project for AST Defeasance turned nearly 1,400 archived deals into structured 17-field records with counterparty contacts attached, delivered as spreadsheets ready for CRM import. AST then came back for a second project.

Result

A second engagement after our first project for them. Six bank-specific document sets went to production after a 216-page audit with all 126 text checks passing.

In-houseBuilt in-house

Seqora's acquisition engine

Our own outbound runs on 10 agents, and the guardrails are the part that carries over to your CRM: a person approves every send in a review dashboard, sending stays within warm-up limits, and every send is checked against suppression lists.

How it runs

Human approval on every send, warm-up sending limits, suppression lists and a weekly analyst memo.

How we work

Why let agents near your client list?

A person approves what AI writes

Templates you sign off on once can send instantly. Anything an agent writes fresh waits in a queue for your team. Our own outbound system is stricter still: it is built so a person approves every send.

Clean data before any outreach

We fix the list before we message it, so nobody gets the same text three times or a note meant for someone else.

Rules where rules belong

Timing, routing, stop-on-reply and opt-outs are plain rules that never guess. AI only does the reading and writing rules can't. More on where AI actually belongs.

What AI CRM automation costs

The build is fixed in scope and quoted after the free audit, with optional ongoing campaign management. These are the things that move the number:

  • How many CRMs and systems need connecting, and whether they have an API
  • How messy the data is: duplicates, gaps and old imports
  • The size of the dormant list and how many segments it needs
  • How many sequences and channels: email, text or both
  • How many AI-drafted messages go through the approval queue
  • Whether we run and tune campaigns monthly after launch

What we don't promise: a set number of bookings or reactivated clients. Results depend on your list, your offer and how fast your team picks up warm replies. We commit to the build, reporting pulled straight from your own CRM, and fixing what isn't working.

FAQ

AI CRM automation: common questions

How much does AI CRM automation cost?

It depends on scope, so we quote after a free audit of your CRM. The main drivers are how many systems need connecting, how messy the data is, how many sequences and channels you want, and whether we run campaigns after launch. You get a fixed scope and price for the build before work starts, not open-ended hourly billing.

How long until the first campaign goes out?

Plan on five to six weeks. Week one is the audit, weeks two and three are cleanup and segmentation, the sequences are built in weeks three to five, and the first campaign then goes to a small slice of your list. Instant follow-up on new leads can go live sooner, since it doesn't depend on the old list. From you we need admin access to the CRM and a few hours of review in the first weeks.

Will AI message my patients or clients on its own?

Only in the ways you approve up front. Instant replies and sequence steps use templates you sign off on before launch. Anything an agent writes fresh, like a reactivation note or a reply to a question, waits in an approval queue until someone on your team edits, approves or rejects it. Live calls and chats work differently: an AI receptionist answers in real time, but only from a knowledge base you approve, and hands anything outside it to a person.

Is my patient and client data safe, and who owns it?

Your CRM stays the system of record. Data is encrypted in transit and at rest, and it is never used to train public models. When the work touches patient data, we sign a BAA. The sequences, templates, segment rules and documentation are yours at the end of the build.

Do I have to switch CRMs?

No. We build inside HubSpot, Salesforce, or the practice and case-management system you already run. Where a system has an API, we connect to it directly. Where it doesn't, we work from scheduled exports, and we tell you up front which one you're getting and what that means for speed.

What if a campaign doesn't work?

Then we change it. Every campaign starts on a small segment, so a weak message costs little. We report replies, opt-outs and bookings per campaign, rewrite or retarget what underperforms, and stop anything that draws complaints. We don't promise a number of bookings, and we tell you plainly what is and isn't working.
